Welcome to Root & Breed Spa We are honoured to be part of your wellness journey. Root & Breed Spa offers a tranquil, professional space where every treatment is thoughtfully tailored to support your physical, emotional, and energetic wellbeing.

This Client Policy outlines our terms of service, your rights as a client, and the professional standards we uphold. Please take a moment to read through the following before booking.

Booking & Appointment Policy

• Appointments must be pre-booked and are confirmed only when payment has been received or a deposit has been made.

• Appointments can be made online, via phone, or by direct message (where available).

• You must be at least 18 years old to book a treatment unless accompanied by a guardian (see “Children & Minors” section).

• We recommend you arrive 5–10 minutes early to complete your consultation form (if required), use the restroom, and begin your session calmly and on time.

• If you are late to your appointment, your session may be shortened to maintain fairness to other clients, but will still be charged at full value.

Cancellation & Rescheduling Policy

We appreciate your commitment to your healing, and we’re equally committed to providing you with the time, energy, and care you deserve. To help us hold that space for you and others, please take note of our policy:

• All payments are non-refundable. Once your session is booked, cancellations at any time will not be refunded.

• Rescheduling is welcome if you contact us at least 24 hours in advance of your appointment.

• Rescheduled sessions must be rebooked within 28 days of your original appointment date. After that, the session credit will be forfeited.

• If you cancel or reschedule with less than 24 hours’ notice, we won’t be able to hold or transfer your session credit.

• We understand that unexpected things happen. In the case of illness or emergency, please reach out — exceptions may be granted at our discretion.

• Repeated last-minute cancellations or missed appointments may require full prepayment for future bookings.

Professional Conduct & Boundaries

We provide strictly professional, therapeutic services. Our environment is one of respect, healing, and confidentiality.

• Any inappropriate behaviour, including sexual comments, gestures, or advances, will result in the immediate termination of your session with no refund given and a permanent ban from the spa.

• All therapists are fully trained and certified in ethical touch, draping, and client communication protocols.

• If you have concerns about pressure, discomfort, or boundaries during your treatment, please speak up — we want you to feel safe and in control at all times.

Root & Breed Spa is an LGBTQIA+ inclusive practice that welcomes clients of all backgrounds, identities, body types, and cultures. We are committed to creating a non-judgmental, affirming environment where everyone can feel truly seen, heard, and supported in their healing journey. No discrimination of any kind will be tolerated within our space.

Privacy & Confidentiality

• All client information, consultation forms, and session notes are stored securely and handled in accordance with UK GDPR (General Data Protection Regulation) standards.

• Your personal health details are used solely for tailoring your care and are never shared without your written consent.

• Your confidentiality, comfort, and dignity are honoured before, during, and after every session.

Health & Medical Considerations

Before beginning your first session, we may ask you to complete a consultation form to help us understand your current health status, injuries, or relevant medical conditions.

• Please inform us if you are:

  • Pregnant or trying to conceive

  • Undergoing recent surgery, trauma, or injury

  • Living with chronic illnesses (e.g., high blood pressure, epilepsy, cancer)

  • On medication that may impact bodywork

We do not diagnose, prescribe, or replace the advice of a medical professional. Holistic massage is complementary, not a substitute for medical treatment.

Gift Vouchers & Packages

• Gift vouchers are valid for 6 months from the purchase date.

• Vouchers are not redeemable for cash, retail products, or past expiry.

• Packages are valid for 6 months and:

  • Can be shared or transferred to someone else

  • Cannot be split into shorter sessions

  • Are non-refundable, even in cases of illness or pregnancy

• We reserve the right to reject any package or voucher if we suspect fraud or misuse.

Children & Minors

• We welcome children and teenagers for massage only with written consent and the physical presence of a parent or guardian throughout the treatment.

• The adult must remain in the room at all times.

• We do not offer unsupervised treatments to clients under the age of 16.

Quiet Zone Policy
To preserve the calm and healing energy of the spa:

• Please keep phones on silent or switched off upon entry

• Speak softly in all shared spaces

• Avoid bringing visitors unless accompanying a minor client

Dress & Draping Policy

• You are always professionally draped during treatments, with only the area being treated exposed.

• You may undress to your comfort level — your privacy and modesty are respected at all times.

• Proper attire (a towel) is required in shared areas if applicable.

Therapist Request
You are welcome to request a therapist of your preferred gender. All therapists at Root & Breed Spa are UK-certified, trauma-informed, and trained in ethical, client-centered practice.

Accessibility Commitment

Our goal is to make wellness accessible for all. We strive to meet the latest Web Content Accessibility Guidelines (WCAG 2.2) and physical access standards. Please let us know in advance if you need assistance with:

• Communication (visual, verbal, neurodivergent support)

Pricing & Service Updates

• Service offerings and prices are subject to change based on availability, training, or treatment demand.

• While we aim to keep our website and menu up to date, all bookings are subject to the current treatment price at time of service.

• We reserve the right to refuse service to anyone, at any time, if we believe our space, staff, or other clients may be at risk.

Agreement & Acknowledgment

By booking an appointment with Root & Breed Spa, you:

• Acknowledge and agree to the terms listed in this policy

• Understand the boundaries, rights, and responsibilities in our therapeutic relationship

• Are choosing to enter a healing space built on mutual respect, safety, and care
